Position Summary:
The Procurement Agent is responsible for supporting the procurement and purchasing activities for mechanical construction projects. This role focuses on sourcing materials, negotiating with vendors, processing purchase orders, and ensuring timely delivery of products and services required for the successful completion of projects. Reporting to the Procurement Manager, the Procurement Agent works closely with project managers, estimators, and site supervisors to ensure that all project needs are met on schedule and within budget. The position requires strong attention to detail, communication, and organizational skills to maintain smooth procurement operations and support the success of project execution.
Description of Duties:
• Assist the Procurement Manager in identifying and evaluating vendors and suppliers, ensuring quality materials and services are acquired at competitive prices.
• Process purchase orders and ensure they align with project specifications and budget requirements. Monitor the status of orders and coordinate with suppliers to ensure on-time delivery.
• Work with suppliers to negotiate pricing, terms, and delivery schedules to optimize cost efficiency while maintaining high-quality standards.
• Coordinate with project teams to track material usage, inventory levels, and replenish stock as necessary to prevent shortages or delays.
• Maintain accurate records of procurement activities, including purchase orders, contracts, and delivery confirmations. Ensure compliance with company policies, industry standards, and legal requirements.
• Work closely with the Procurement Manager, project managers, and field supervisors to ensure that material and equipment needs are understood and met according to project timelines.
• Monitor purchase costs and maintain records to track budget alignment and cost control measures.
• Address and resolve any discrepancies or issues with suppliers, including late deliveries, damaged goods, or non-conforming materials.
• Assist in researching and staying up-to-date with industry trends, material pricing fluctuations, and supplier innovations to contribute to better procurement decisions.
• Additional duties as assigned.
Preferred Knowledge, Experience & Skills Requirements:
• Associate’s or Bachelor’s degree in Supply Chain Management, Business Administration, Construction Management, or a related field preferred.
• 2-3 years of experience in procurement, purchasing, or supply chain, preferably in the construction or mechanical contracting industry.
• Experience with construction procurement software.
• Strong negotiation and communication skills.
• Excellent organizational abilities and attention to detail.
• Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
• Proficient in Microsoft Office Suite.
