Summary:
The Project Development Coordinator provides administrative support to the Project Development Team and facilitates the coordination for multiple bids, proposals, and design build projects. This role is responsible for managing and organizing project documentation, maintaining bid records, and ensuring timely distribution of project-related information. Additionally, this role involves supporting prequalification processes, preparing bid documents, and leveraging project management software to track progress.
Duties and Responsibilities:
• Manages electronic project documents: drawings, specifications, reports, email communications, etc. and distributes documents to appropriate team members
• Responsible for document control activities: updates drawing sets with changes, submittals, etc.
• Utilizes online project bid systems (Procore, CMIC, etc)
• Ensures all required documentation from subcontractors and suppliers is received and properly recorded for each bid
• Responsible for information management within the project development team
• Works collaboratively and builds effective relationships with the design team, bid managers, estimating, and vendors
• Arranges travel as required for project development staff
• Schedules meetings, prepares agendas, and prepares meeting notes for department use
• Provide support for job specific prequalification and Yearly Customer Prequals
• Create Project Hub, manage all documents and addendums
• Provide support in creating/updating Take-off Schedule Huddle
• Manage Intent to bid notifications to external customers
• Creation and completion of proposal letters and bid forms
• Manage Bid Bond applications as needed per bid
• Provide support to submit bids to all customers
• Update Building Connected documentation, invitations, and bid status
• Support manpower team on various items
Preferred Knowledge, Experience & Skills Requirements:
• 2 years of experience in the commercial/industrial construction industry or related fields
• 1 years of working with project management tools (preferred experience with BidTracer, Viewpoint, Bluebeam)
• Ability to handle multiple projects and support multiple project managers with minimum supervision
• Exceptional skills in time management, organization and attention to detail
• Must have strong skills in Microsoft Office
• Must have good written and oral communication skills
• Ability to work well with all levels of management and staff including outside clients, vendors and subcontractors
• Ability to maintain confidentiality of sensitive business information.
